Workforce Compliance Software

Never roster someone whose ticket has expired

Licences, certifications, inductions and documents — tracked per employee, with expiry reminders that fire before the date, not after the incident. Engage WorkForce keeps every check visible across every site, with an audit trail behind each record.

One profile per person

Every ticket, every expiry, one place

Compliance lives next to the roster, not in a forgotten spreadsheet. The people you put on a schedule carry their checks with them.

Track everything

Licences, certifications, inductions, documents

Each employee gets a compliance profile that holds the lot — security licences with expiry dates, certifications, site inductions and supporting documents uploaded against the record. For licensed industries like security, that means the licence number, the expiry and the evidence sit together, not across three systems.

  • Security licence tracking with expiry dates per state requirement
  • Document uploads stored against each record as evidence
  • Multi-site visibility — one view of compliance across every site you run

Your checks, not ours

A compliance catalogue you define yourself

No two businesses run the same checks, so the compliance type catalogue is per-company. Define exactly what you verify — white cards, first aid, RSA, working-with-children checks, vehicle licences — and set a company-wide default reminder lead time, like 30 days before expiry, so new records are protected from the moment they're created.

  • Per-company catalogue — add, rename and retire your own compliance types
  • Default reminder lead times set once, applied to every new record
  • Per-record overrides when one check needs more notice than another

Governance built in

Records that survive the hard questions

When a client, an auditor or a regulator asks "who checked this, and when?" — the answer is already written down.

01

Audit trails on every change

Each compliance record carries its history — who added it, who edited it, and when. The story of a licence isn't reconstructed from memory; it's read off the record.

02

Role-based access

Administrators decide who can view, add and edit compliance data. Site managers see what they need for their sites; sensitive records stay with the roles that own them.

03

Covers subcontractors too

Subbie crews are held to the same standard — same profiles, same expiry dates, same reminders. Pair it with contractor management for the full picture, including field teams who never visit the office.

A compliance system earns its keep on the day nothing goes wrong — because the reminder went out three weeks earlier, the renewal landed on file, and nobody ever stood on site with an expired ticket.

Common questions

Compliance tracking, answered

What document types can be tracked?
Anything your business checks before rostering someone: security licences, white cards, first aid, RSA, working-with-children checks, vehicle licences, inductions and supporting documents. Each record carries its details, expiry date and uploaded evidence.
How do expiry reminders work?
Set a company-wide default lead time — say 30 days before expiry — and reminders fire automatically as each licence or certification approaches its date. New records pick up the default, and individual records can carry their own reminder window where one check needs more notice than another.
Who can edit compliance records?
Access is role-based. Administrators control who can view, add and edit compliance records, and every change lands in the audit trail — who changed what, and when — so the history of a record is never in doubt.
Does it cover subcontractors as well as employees?
Yes. Subcontracted workers can be tracked with the same compliance profiles, expiry dates and reminders as your own staff, so one lapsed ticket on a subbie crew is just as visible as one on your payroll. See contractor management for the full picture.
